Business is under increasing pressure to measure and demonstrate compliance with regulations and industry or company operating standards.
Linfox, with a large number of operating sites that have varying functionality, needed to conduct compliance reviews that included the Retail Code of Conduct, heavy vehicle accreditations, dangerous goods, subcontractors, Linfox safety standards, and Comcare self-insurance obligations.
The difficulty of using paper based systems was that they were hard to track. It was challenging to review sites’ compliance and identify trends and issues in the business which could then be addressed.
In particular, Linfox’s compliance team wanted the ability to easily review the performance of any of its sites, against all relevant company policies, OHS regulations and vehicle regulations.
This is where Compliance Experts came in.
SITUATION
Business is under increasing pressure to measure and demonstrate compliance with regulations and industry or company operating standards.
Linfox, with a large number of operating sites that have varying functionality, needed to conduct compliance reviews that include the Retail Code of Conduct, heavy vehicle accreditations, dangerous goods, subcontractors, Linfox safety standards, and Comcare self-insurance obligations.
Linfox needed a sophisticated, computer based, audit tool, to make their compliance tasks simpler, and at the same time increase transparency.
SOLUTION
Linfox is Australia’s first logistics company to implement Compliance Checkpoint.
The Compliance Checkpoint system integrates leading-edge internet and mobile technologies to provide the ability to conduct operational reviews at any site.
Operators in the field are able to download relevant checklists covering Linfox procedures,
Comcare self -insurance (OH&S) obligations, heavy vehicle accreditations, dangerous goods, subcontractors and the Retail Logistics Code of Conduct. The list of codes can be expanded at any time on Linfox’s Compliance Checkpoint central server, and codes can be updated as they change.
Using multi-platform tablet devices, Linfox’s compliance team can access and use the relevant checklist for any site. The system provides ‘standard text’ responses for speed and consistent reporting and analysis.
Completed reviews are uploaded to Linfox’s dedicated central server and reports and analysis are immediately available.
BENEFITS
The Compliance Checkpoint system, which totally replaces cumbersome paper-based audits, provides operators with simple access to up-to-date relevant audit checklists, as well as straightforward recording and submission media.
By immediately generating electronic reports, Linfox can easily analyse data and trends and efficiently track deficiencies and remedial action. The system is overseen by a dedicated Compliance Checkpoint System Administrator, who tracks audits as they occur, analyses results and generates a variety of reports.
Linfox’s Compliance Manager, Asia Pacific, Shane Falkiner said, “Compliance Checkpoint overcomes the difficulty of using paper based systems which are hard to track.
The computerised system allows us to immediately review sites’ compliance and identify trends and issues in the business which can be addressed.”
“The major benefit is complete visibility of our performance and pinpointing where we need to direct our efforts to improve.”
Compliance Checkpoint was launched across Linfox’s Australian operations in January. It will be extended to Asian and New Zealand operations later in the year.
The system was developed by Compliance Experts, a company that combines expertise in compliance auditing and software development. The audit technology is now used by many leading businesses and government agencies around the world.
Linfox’s Australian compliance team will be able to check policies and regulations via tablets linked to a central server while they are on the company’s various sites.
The tool has been tailored for Linfox by supplier Compliance Experts.
Following a site audit, a detailed report can be provided to every level of the business on the level of compliancy of a site, business, state or country.
The initial report will be two-pages long, with the ability to produce detailed results and corrective action reports.
